Support of Campus Standard Department Smart Rooms
Starting Summer 2010, ITS/Classroom Technologies (CT) expanded our services to include repair, maintenance and refresh for all AV equipment in campus-standard Smart rooms. CT services the campus’ university scheduled classrooms that contain campus standard smart room equipment. This service will be expanded to include department scheduled rooms with campus-standard smart room equipment for interested departments. This service consists of:
- Regularly scheduled maintenance of campus-standard smart room AV equipment.
- Repair of damaged campus-standard smart room AV equipment.
- Refresh of end-of-life campus-standard smart room AV equipment.

During Spring quarter 2010, departments will be asked about their interest in participating in this service offering. CT will confirm the inventory of campus-standard smart rooms, evaluate the condition and establish an appropriate maintenance and refresh cycle for those interested departments.
What qualifies as a campus-standard smart room?
The Cal Poly standard smart room is equipped with CT supported equipment consisting of a ceiling-mounted projector, speaker, DVD/VCR player (in some cases), and a wall-mounted controller. Visit the University-Scheduled Smart Room page for more information about standard smart rooms on campus. Standard projector brands are Epson and Panasonic. Standard controller brands are SP Controls and Extron.
How much will this cost?
This is an ITS Baseline Service at no costs to departments. This service does not include support of non-standard smart rooms, costs to convert to a campus standard design or installation of new smart room equipment.
How can we convert our room into a campus standard smart room or install a new one?
CT works with departments to design and manage the installation of campus standard smart room equipment. Contact Classroom Technologies to set up a consultation. After initial funding by the department, CT will assume the responsibility for maintenance, repair and refresh of the equipment.
What about user support?
CT will respond to service calls relating to smart room AV equipment. Any issues not associated with the standard smart room equipment will be referred to the Department LAN Coordinator or designated contact for support. Support of installed computers, software or non-standard equipment will remain the responsibility of the department.
Who “owns” the equipment?
The transfer of equipment maintenance will include: repair of existing equipment, refresh of existing equipment. Refreshed or replaced Smart room equipment will be owned by CT. The current Smart room equipment purchased by departments will remain the department's property. If and when CT refreshes the department owned Smart room equipment, the department will be responsible for surveying or transferring the removed equipment. Support of installed computers, software, peripherals, or non-standard equipment will remain the responsibility of the department and listed in the department’s inventory records.
